Procedure for Organizing a Benefit
1. Obtain Foundation approval for your activity. To do so, fill out the
form called Proposal for Holding a Benefit Activity. As soon as your proposal is received, the benefit coordinator will contact you.
2. Set up an organizing committee. Gather together people who are enthusiastic, available and fun — that's the key to success! Don't forget to recruit enough volunteers to do all the tasks related to your activity.
3. Set an objective. Set a realistic and easily measurable financial goal.
4. Plan a brainstorming. Have a meeting of your organizing committee and let your imagination go.
5. Choose an appropriate activity. To combine success and fun, aim for a project that is appropriate for your committee members, in terms of the availability, aptitudes and interests of each member.
6. Identify your target groups. Who does your activity address? Who could it interest? Who could get involved?
7. Set an appropriate date. Choose a date that works for your committee members and for the people you want to interest with your activity.
8. Plan a budget. The more you reduce expenses through sponsors, the more money you can generate and the more you can help the sick kids at Sainte-Justine's! In Proposal for Holding a Benefit Activity, the section on the budget will help you identify possible sources of revenue and the expenses related to a benefit activity.
9. Promote your activity. By giving you the green-light to organize a benefit, the Foundation allows you to use its name and logo. However, you are obliged to submit the advertising material for your activity for approval — before printing, broadcasting or distributing it.
10. Collect the money. Once your activity is over, the amount raised must be handed over to the Sainte-Justine Hospital Foundation within no more than 45 days. Under the law, you must expect to wait four weeks before receiving your income tax receipt. (Certain conditions and rules apply when it is time to issue income tax receipts. In this regard, before you make a commitment to your donors or participants, we ask that you first request the approval of the benefit coordinator at the Sainte-Justine Hospital Foundation).
11. Say thank you! Thank everyone who contributed to the success of your activity. Don't forget to tell them how much money you raised and how successful your benefit was.
